Dear Colleagues,
As we embark on yet another year of teaching and learning, I am excited to serve as your principal. We will advance new ideas and knowledge. We will strive to create a learning environment that challenges and inspires students to do their best work.

This year we have improved the organizational structure for Richmond Technical Center through full automation. We have implemented an innovative on-line registration, textbook purchase, and tuition payment system, which makes us more efficient in serving you. We believe every student can learn—as such, we pledge to provide all necessary material and resources to accomplish that goal.

Together we can S.O.A.R. (Succeed Over All Requirements). I hope that you will find this school year both enlightening and enjoyable. Let’s make this the best school year ever. Please let me know if I may assist you in any way.

GENERAL RULES FOR EVENING SCHOOL
SMOKING … State Law prohibits smoking and the use of any tobacco products. Instructors are encouraged to remind students of this policy and request their cooperation.

ALCOHOL… School Board policy prevents the consumption and/or possession of alcoholic beverages on the grounds or in the building at any time.

NOISE… Unnecessary noises and improper behavior are not allowed. Show courtesy to your adjoining classroom.

REMOVAL OF PROPERTY …Please replace any items that you have moved during the course of teaching or attending night class; this includes books, pencils, chairs, etc.

PARKING … Keep our fire lanes free and open at all times. Violators may be ticketed and towed. Students are not permitted to park on the grass at any time.

CLASSROOM MANAGEMENT … The best way to ensure a smooth lesson is to arrive at least 15 minutes before your class is scheduled to begin. Make sure you provide a complete lesson to cover the allotted time ie., (6:30 – 9:30), (6:00 – 10:00), If you give a quiz that will not cover the whole class period (3 hours), give the quiz at the end of the class so that the class will not be leaving early.

REFRESHMENTS … Food and drinks may be consumed ONLY in the STUDENT LOUNGE. Refuse cans are provided for the disposal of wrappers and cups. Instructors are reminded that food should not be consumed in the classroom.

USE OF CLASS TIME Class time is valuable! Every minute should be used wisely. Be in your classroom on time and require your students to do likewise. Plan the class time carefully and require your students to use it effectively. Classes begin promptly at 6:30 p.m. and end at 9:30 p.m. (There may be classes that begin earlier and end earlier than the prescribed time. The same rules and policies apply to all classes.)

CHANGE IN CLASS TIME Any deviation in the class meeting time should be discussed with an administrator. If the change is requested after the school year has begun, be sure that all students are in agreement with the change of time before approaching an administrator.

CLASS ROLL AND POSTING GRADES Record on the class roll the hours each student attended each class session. The summary at the end of the session should also be in hours present and hours absent. Be sure also to record grades daily on line, and post grades at the end of the semester on the Grade Reporting Form.

CLASSROOM AND LABORATORY SECURITY Laboratories and classrooms are to be locked at all times when the instructor is not present. Please pick up your keys from the mailbox in the Evening School Office at the beginning of each class and return the keys to your mailbox before leaving the building each evening. (DO NOT TAKE YOUR KEYS HOME.)

MAILBOX All instructors have a mailbox located in the Evening School Office. It is important that you check your mailbox nightly. The mailbox is our means of communication between the administration and the teachers. Grades sheets, memos, announcements, and updates are placed in mailboxes.

CLASS BREAKS Breaks are for you and your students and should not exceed 15 minutes. All food and drinks must be consumed in the break area. Please do not take food or drinks into the classroom.

CANCELLATION OF CLASS If an Evening School Instructor does not plan to be present for class, it is the responsibility of the instructor to notify the students enrolled in his/her class. If time does not permit please notify the Evening School office and the students will be notified.

FIRE DRILL Your program coordinator will inform you of the appropriate exits to be used during a fire exercise or in case of emergency. All persons must clear the building through the proper exits in any such situation.
NOTE: Fire Drill Cards are posted in your classroom and lab.

CERTIFICATON OF COMPLETION A certificate of completion will be awarded to students upon completion of the course requirements with a final grade of not less than “C” and a minimum of 80% attendance.

BROKEN TOOLS AND EQUIPMENT When tools and/or equipment are broken or damaged, they should be repaired. If it is impossible to make the repair, inform the administrator on duty in writing and leave the day instructor a note.

BOOKSTORE The Richmond Technical Center provides a book store for students and staff. The hours of operation for the bookstore are between 6:00 – 8:00 p.m. for evening school students.

POLICY AND PROCEDURES
STUDENT RECEIPTS: Encourage students to keep their receipt of tuition paid. Hopefully, this will reduce the number of requests referred to our office for copies of receipts and letters to employers for reimbursement. A fee of $5.00 will be charged for each duplicate receipt.

TRANSCRIPTS: One transcript will be issued free, upon a written request of the student. Additional transcripts will be charged a fee of $5.00 per request.

TUITION REFUNDS: There will be no refund of fees or tuition unless a class is canceled by the Administration. Partial refunds may be allowed if written application and receipt is received prior to the 7th calendar day following the beginning of class. A $10.00 processing fee will be retained by the Center on withdrawals from class initiated by the student. In the event a class must be cancelled, refunds will be made as soon as possible. Please allow at least 2 weeks fro processing.

CERTIFICATE OF COMPLETION: A certificate of completion will be awarded to students upon completion of the course requirements with a final grade of not less than “C” and a minimum of 80% attendance.

JOINT USE OF FACILITIES
In order to accomplish our common objectives, we must work together. In this respect, we request that you:

  1. Remember that the day instructor has primary responsibility for maintaining the laboratory in a safe and orderly manner, in addition to teaching five (5) hours per day.
  2. Evening school instructors need access to equipment and materials and share in the responsibility of correct use and care of equipment as well as supervision of their students.
  3. All instructors and students must clean up after classes and leave both classrooms and laboratories better than they found them.
  4. Security is a concern for all and must be respected by all. Always lock up everything and observe unusual actions. Report any infractions or suspected problems to the coordinator or administrator verbally and in writing.
  5. Anticipate your needs. Plan your teaching activities well in advance and request audio-visual materials, equipment, and supplies well in advance. Use the forms provided in this handbook or see the evening school secretary.
  6. Have alternate plans available in case of an emergency. Machines do break down and sometimes it is possible to obtain supplies when we want them. Be flexible!!!
  7. Safety always has top priority. Teach safety, enforce safety regulations, and practice safety.
  8. Permission must be secured from the administration before visitors can be invited into the classroom setting.
  9. Conserve energy and supplies. Our goal this year is to reduce the use of all resources by 10%. Turn off electricity, conserve supplies and reach conservation at every opportunity.
  10. Communicate with each other, your coordinator and the administration.
  11. Keep up the good work. The Richmond Technical Center has an excellent reputation. Let’s make it even better by working as a team.

COURSE OUTLINE
Each instructor should have a class outline of the work to be accomplished in a class session. This should be detailed enough to permit an administrator to know what the class should be doing in a particular evening, yet not as detailed as a lesson plan. Such an outline helps the instructor to work steadily toward completion of the course work in the allotted time, with a minimum of lost student time and indicates to anyone concerned the work the students will cover in the course.

A copy needs to be on file in the Evening Principal’s Office.

GRADING
The Richmond Technical Center Grading System Is As Follows:
A = 92 - 100 (Outstanding)
B = 83 - 91 (Above Average)
C = 82 - 74 (Average)
D = 73 - 65 (Below Average)
F = 0 - 64 (Unsatisfactory)

To receive a passing grade, a student must:

  1. Participate in class and outside work.
  2. Have satisfactory performance and test results.
  3. Maintain 80% attendance.

EMERGENCY CLOSING / INCLEMENT WEATHER PROCEDURES
If Richmond Public Schools classes are cancelled or if schools are closed early due to inclement weather, instructors and students should first check the website( Messange Board), it will contain the most current information, then listen to local radio stations to gain information on the status of evening school classes.

Every possible effort will be made to provide announcements related to school closures as early as possible. Instructors may also call the Evening School Office at 780-6272 to obtain information on the status of classes.
All instructors are encouraged to establish a “telephone tree” within each class. This “telephone tree” would enable students to notify each other of cancellations and could save everyone some time.

Cancelled classes will be rescheduled at the end of the course.

SAFETY
It is imperative that you instruct all of your students about safety and safe work habits before allowing them to use any machinery or equipment. As a suggestion, a written test for comprehension and the results should be on file and available for documentation should such an occasion arise. Learning safe work practices is just as much a part of learning a trade as using tools, machinery, and equipment. Most occupations have some hazards, and it is important to recognize and to always protect yourself against them. Safety is everybody’s business, and no one can afford to be careless or overlook any of the basic requirements of safety. Carelessness can result in anything from a small scratch to the loss of sight, hearing, a finger, an arm, a leg or even life itself. Protect yourself by providing all students enrolled in your class with proper safety instructions.

When working in the shop or lab, make sure that all of your students wear the proper eye protection. This is required by State law.

Evening School Personnel are expected to exercise a reasonable degree of care on foreseeing the possibility of an accident or injury, and in taking the necessary steps to prevent its occurrence. The standard of care is that which a reasonably prudent person would exercise under the same set of circumstances.

CLOSE OUT
At the end of each semester it is the responsibility of the instructor to close out the semester by calculating the grades and turning in YOUR KEYS and the following reports:

  • LETTER
  • GRADE SHEET
  • ROLL SHEET
  • EVALUATION SHEETS

In the examples of the reports and forms to be prepared by the teachers look for the example of the roll sheet, the grade sheet, the letter, and the evaluation form.
Instructors are responsible for seeing that this paper work is completed and submitted to the night school secretary at the end of the semester on your 25th night.

CERTIFICATES
At the end of class certificates of completion are prepared for those students who successfully met the requirements of the course. The certificates are prepared by the clerical staff in the night school office. The request for Certificate form is completed by the instructor providing the necessary information to be placed on the certificate. It is of the utmost importance that the students provide you with the correct spelling of their name and the way their names should look in their certificate.

DUPLICATING INSTRUCTIONAL MATERIAL
Materials for duplication should be placed in the duplication basket located on top of the mailboxes. The clerical staff will process the request and place the duplicated materials in your mailbox. Be sure to allow sufficient time to have your materials duplicated and returned. Submit your request at least one class meeting prior to the anticipated need.

GENERAL GUIDELINES
The following are general guidelines, which instructors should observe when requesting duplication of instructional materials:

  • Request only the number of copies you actually need.
  • Ensure that master copies are clear and legible.
  • As a rule of thumb, copying should not exceed 2 (two) pages per students per class meeting. If additional copies are needed approval is required by the program coordinator or principal.
  • Instructors are not permitted to use the duplicating machine. All duplicating must be done by the clerical / support staff.
  • Ensure that all staples are removed.
  • Two-sided master copies count as two separate pages.

Request for duplication of materials must be submitted on the appropriate form. A sample of the duplication form is on the following page. An additional form is found in the appendix.

Evening School Instructor’s Closeout Checklist
Within the next three weeks many of you will be completing your Evening School Class. This checklist has been developed to ensure that instructors complete all of their requirements before leaving on the last class night. Please check off each item as you complete the task. Sign when all items are completed and turn in this memo along with your completed Semester Grade Report Form, Class Roll Sheet, and Student Evaluation of Evening School Course to the Evening School Office.

Your cooperation in this matter is appreciated. If you have any questions regarding grading procedures, please refer to the Instructor’s Handbook you received at the beginning of the school year or check with the Evening School Administrator on duty.

COMPLETION CERTIFICATES
Turn in the Request Form to have your Completion Certificates typed to Ms. Grissom in the Evening School Office. Do not wait until the last class night. Please leave certificates that are not picked up by the students in your mailbox.

SEMESTER GRADE REPORT FORM AND CLASS ROLL SHEET
Turn in your Semester Grade Report Form and Class Roll Sheet to the Evening School Office after posting your grades and attendance. Include the student’s semester grade and final grade (Letter Grade and Numrica Average), and the hours the student was present and absent from class. If a student is missing from your Grade Report Form contact the office if student has been remove or has not appear on your roll sheet. Complete all of the identifying information on the Class Roll Sheet—Class Title, Session Date, and Instructor’s Name). Many of your student’s will need a report card. Please complete a report card on each student and distribute on the last night of class. Report Cards are available in the Evening School Office. Please leave the Report Cards that are not picked up by your students in your mailbox. We will not mail certificates or report cards to students.

KEYS
Turn in your classroom, storage cabinets and / or lab keys to the Evening School Office.

STUDENT EVALUATION OF EVENING SCHOOL COURSE
Turn in the Student Evaluation of Evening School Course to the Evening School Office.

ADDRESS CORRECTION
If your address has changed this school year, please give your correct address to the Evening School Office. This information will be used for next year’s Evening School Staff Meeting.
